The main cost components
1. The software subscription
Most modern restaurant software is sold as a subscription, monthly or yearly. Ask what the plan is tied to:
- Billing period — longer commitments are often cheaper per month
- Number of outlets — one branch or several
- Number of users — how many staff logins are included
- Modules — whether kitchen display, inventory or reports are included or sold separately
2. Hardware
Some systems need dedicated terminals, printers or cash drawers. Others run in a browser on devices you already have. Ask exactly what you must buy, and whether you need to replace it as the software changes.
3. Setup and onboarding
Find out whether menu entry, table setup and staff training are included or charged. A low subscription with a large setup fee is not cheaper.
4. Payment charges
Software fees and payment fees are separate. UPI, card and cash all reach you differently, so ask whether the software charges anything on top of what your payment provider charges.
5. Support
Ask when support is available, in which language, and how you reach it. A restaurant's busiest hours are exactly when something goes wrong.

- Add up the first-year cost, including hardware, setup and payment charges
- Compare the second-year cost too, since that is what you will pay for the longest
