How to Choose Restaurant Management Software in India: 10 Questions to Ask

Choosing restaurant management software is one of those decisions that is easy to make badly. Every vendor demo looks smooth, every feature list looks long, and the differences only show up months later — on a packed Saturday night, or when the first GST filing is due. This guide is a vendor-neutral checklist of the questions worth asking before you commit, whichever software you end up choosing.

1. Does it cover your whole service, or just billing?

Start with how an order actually travels through your restaurant: guest, order, kitchen, table, bill. Some systems are billing-only and expect you to stitch the rest together with other tools. Others connect the whole path.

Ask to see one order followed from start to finish. In a connected system, a guest scanning a QR code menu should land on the kitchen display without anyone re-typing it, and the same order should end up on the bill.

2. Is the billing genuinely GST-ready?

For an Indian restaurant this is non-negotiable, so check the specifics rather than accepting "GST supported":

  • Can you configure tax and fee lines per outlet — SGST, CGST, service charge?
  • Does every bill show the SGST and CGST split clearly?
  • Can each outlet have its own invoice numbering, with a prefix and a reset date?
  • Do promo codes and manual discounts apply cleanly before tax?

3. Can you take payments the way your guests pay?

In India that means UPI as much as cash and cards. Check that UPI, Card and Cash all work from the same bill screen, and that cash payments calculate change for you. Ask what happens when a guest wants to pay a mix of ways — some systems handle this and some do not, so test it in the demo instead of assuming.

4. How does the kitchen receive orders?

There are two common models: printed tickets and an on-screen kitchen display. Neither is wrong, but they are different, so decide which your kitchen needs before you shop.

If you want a screen, look for:

  • Timers on every ticket that change as orders age, so delays are visible
  • Filtering by menu category, so each part of the kitchen sees its own items
  • Item-level fulfilment, so a half-ready order is not treated as all-or-nothing

If you rely on a physical printer at a station, confirm printer support specifically. Do not assume it.

5. Does it show what a dish actually costs you?

Menu prices are easy to set and food cost is easy to ignore. Ask whether the software can record raw materials, map recipes to menu items, and compute a cost per dish from those recipes. Then ask how stock levels are tracked: are there minimum and maximum thresholds, a low-stock status, a reason recorded for every stock adjustment?

6. Will it cope with a second outlet?

Even if you have one restaurant today, ask what a second would look like. Can taxes, tables and invoice numbering differ by outlet? Can promo codes be account-wide or limited to one outlet? Is there one dashboard that compares outlets? Can a manager see only the outlet they run?

7. What happens when the internet drops?

Cloud-based software needs a connection, and that is a reasonable trade-off for a system you can use from any device. But you should know the answer before you sign, not during a busy service. Ask directly whether the system works offline, and if it does not, plan a backup connection such as a mobile hotspot for busy locations.

8. What is the guest-facing experience?

If you plan to offer self-ordering, try it on your own phone. Does it need an app or a login? Can a group of friends order from separate phones on one table? Can guests call a waiter or ask for the bill with one tap? A guest who has to install something to order will not bother.

9. Who sees what?

Staff turnover is a fact of restaurant life, so access control matters. Check for distinct roles — owner, manager, captain, waiter, chef — and for permissions that go down to view, add or edit, and delete on each module. You should be able to stop a waiter from deleting a menu item without needing a new role for it.

10. What will it really cost, and what are you committing to?

Ask for the full picture in writing: setup fees, the contract term, what is included per outlet and per user, and what changes when you add an outlet. Compare vendors on the total cost for your restaurant rather than the headline number.
