How to Set Up a QR Code Menu for Your Restaurant in One Afternoon
A QR code menu lets guests scan a code on their table and see your menu on their own phone. A QR ordering menu goes one step further: the guest also places the order from that phone, and it reaches your kitchen without anyone writing it down. You can have either running in an afternoon, provided you sort out four things first: the menu, the codes, the flow behind the scan, and your staff.
Step 1: Get the menu ready before you touch a QR code
The scan is the easy part. What the guest lands on is what decides whether the menu helps or hurts.
- Organise by category — Starters, Mains, Breads, Rice and Biryani, Drinks, Desserts. Guests scroll on a small screen, so clear groupings matter more than a long list
- Mark veg and non-veg on every item — in India this is the first thing many guests look for
- Set up customisations properly — spice level, add-ons and sizes should be options on the item, not a note someone has to type
- Switch off what you have run out of — a menu that lets guests order a dish you cannot make creates the worst kind of table conversation
Step 2: Make the code table-specific
A single QR code stuck at the entrance is a digital menu. For ordering, each table needs its own code, so an order knows which table it belongs to. In KhaanaPina, the code opens the menu for that specific table and is tied to that table's session, so the order lands on the right table without the guest typing a table number.
Guests do not install an app and do not log in. That matters more than it sounds: every extra step between "I am hungry" and "I have ordered" is a guest who flags a server down instead.
Step 3: Decide what happens after the guest taps "Place order"
This is where most QR menu setups quietly fall apart. If the order goes to a phone number or an inbox that nobody is watching, you have replaced a slow process with a broken one.
Before you go live, be able to answer:
- Where does the order appear? Ideally straight on a kitchen display, with the table, modifiers and any notes attached
- Can a guest order more than once? Real meals happen in rounds — starters, then mains, then dessert. Each round should be tracked separately
- How does a guest get help? One-tap Call Waiter and Request Bill buttons cut the eye-contact hunt
- How do they pay? Show the bill itemised by round, with tax, and take UPI or card from the same screen
The whole path is what QR code ordering is meant to cover, from scan to settled bill.
Step 4: Brief your staff for the first week
A QR menu changes the servers' job. They stop being order-takers and become hosts. Tell them plainly:
- Point the table to the code, and offer to help anyone who would rather order the usual way
- Staff can still take orders themselves on the floor — QR ordering is an option for guests, not a replacement for service
- Watch the kitchen screen during the first busy night, and note any dish that guests keep customising in the same way
A one-afternoon checklist
- Menu categories, veg and non-veg flags and customisations complete
- Out-of-stock items switched off
- One code per table, printed and placed where guests will see it
- Test order placed from a phone, checked on the kitchen screen and billed
- Staff briefed on what changes and what does not
Common mistakes
- Testing on your own Wi-Fi only. Try it on mobile data too, since that is how most guests will scan
- Printing codes too small or on glossy stock. Test that a phone scans it in dim restaurant lighting
- Forgetting groups. A table of six wants to order together. See how group ordering lets everyone add from their own phone
A QR menu does not need a hardware overhaul or a long rollout. It needs a clean menu, a code per table and a clear path from the guest's screen to your kitchen.
